At Word For Word Reporting Services, we are dedicated to ensuring accuracy and consistency in every examination and transcript. We hold ourselves to the highest level of professionalism, ensuring that we deliver excellence and innovation. To achieve this promise, we have the following policies.

Overtime

Regular booking times are 3 hours for a half day and 6 hours for a full day. Any requested extensions to these times may be accommodated, however, at times we may be unable to extend times. Overtime rates apply after 6 hours or evenings, weekends and holidays and are calculated at double time.

Cancellations

Cancellations must be made in excess of 48 hours prior to the scheduled start time in order to avoid incurring cancellation fees. Cancellations made 48 hours prior will incur half of the original booking fee for the cancellation. Cancellations made 24 hours prior will incur the full rate of the booking. Boardroom rentals cancelled 48 hours or less prior to the examination will result in the full rate of the meeting room. Only the booking party is authorized to make cancellations or reschedule.

Invoices

Each examinating lawyer will be billed a percentage according to the time spent on examinations, unless otherwise specified to the reporter or at the time of booking. In case of a cancellation, any applicable fee will be charged to the booking party. Invoice splitting is permitted with the documented consent of both parties. These circumstances must be made known to the reporter and on the record at the time of the examination.

Terms of Payment

We offer a firm, but fair Net 30 payment policy. Payments must be made in full 30 days from the date of the invoice. Overdue accounts will incur interest. Self-represented parties are subject to a required deposit for all examinations and transcripts, with payment to be made 2 days prior to the scheduled examination.

Travel

All travel within the City of Thunder Bay or the City of Dryden are free of charge. Travel outside of these areas will be billed at the rate of $0.70/KM. Overnight hotels and meals are a flat rate of $200.00/night for assignments which last more than one day or more than 200km away from home base of Thunder Bay or Dryden.
